Plan, assign, and track work to completion.
What is a Task?
A task is a specific action item that needs to be completed. Tasks can belong to a project, be linked to a contact or organization, and can be assigned to any team member. Use tasks to break work down into manageable steps and track progress.
Viewing Tasks
Go to Tasks in the top menu.
Filter tasks by:
- Status — To Do, In Progress, Done, Cancelled
- Priority — High, Normal, Low
- Type — Category of task
- Assignee — Which team member owns the task
- Contact — Tasks linked to a specific person
- Organization — Tasks linked to a specific company
- Project — Tasks belonging to a specific project
You can also view tasks within a specific project from the project's detail page.
Creating a Task
- Click New Task.
- Fill in the task details:
- Title — A clear, actionable description (e.g., "Send contract to client")
- Description — More detail about what needs to be done
- Status — To Do, In Progress, Done, or Cancelled
- Priority — High, Normal, or Low
- Type — The category of work
- Assigned to — The team member responsible
- Due date — When this must be completed
- Project — The project this task belongs to (optional)
- Contact and/or Organization — Who this task relates to (optional)
- Time estimate — How many hours you expect this task to take
- Click Save.
Task Statuses

Task Priority

Logging Time Against a Task
When you log time, you can associate it with a specific task. This helps track exactly how long each piece of work took.

Frequently Asked Questions
Can I assign a task to multiple people? Each task has one assignee. If multiple people need to work on the same piece of work, break it into separate tasks and assign each one.
Can tasks exist without a project? Yes. Tasks can be standalone (not linked to any project) or linked to a contact or organization instead. This is useful for administrative tasks that do not belong to client work.
How do I see all tasks assigned to me? Use the Assignee filter in the task list and select your own name, or go to your personal dashboard which shows tasks assigned to you.
What is the time estimate used for? Time estimates feed into Capacity Planning. When you add an estimate to a task, your workspace Owner/Admin can see how much estimated work is queued for each team member.
