Deals & Pipeline

Track opportunities through your sales pipeline.

What is a Deal?

A deal represents an active sales opportunity — a specific piece of work or sale you are pursuing with a potential or existing client. Deals move through stages in your pipeline as they progress toward being won or lost.


The Sales Pipeline

Your pipeline is a visual representation of all your deals organized by stage. Each stage represents a step in your sales process (e.g., Proposal Sent → Negotiation → Won).

Viewing the Pipeline

Go to Deals in the top menu. You can view deals as a board (kanban style, by stage) or as a list.

Filter deals by:

  • Stage — The current pipeline stage
  • Owner — Which team member owns the deal
  • Contact — Deals linked to a specific person
  • Organization — Deals linked to a specific company
  • Search — By deal name or keyword

Creating a Deal

  1. Click New Deal.
  2. Fill in the details:
    • Title — A short name for this opportunity
    • Description — More context about the deal
    • Value — The monetary value of this deal
    • Stage — Where this deal currently sits in your pipeline
    • Owner — The team member responsible
    • Contact — The person you are working with
    • Organization — The company associated with the deal
  3. Click Save.

Moving a Deal Through Stages

From the deal's detail page or the board view:

  1. Click Move Stage (or drag the deal card to a new column in board view).
  2. Select the target stage.

Track progress by moving deals forward as conversations and negotiations develop.


Converting a Won Deal to a Project

When a deal is won and work begins, convert it directly into a project so all information carries over.

  1. Open the won deal.
  2. Click Convert to Project.
  3. A new project is created pre-linked to the same contact and organization.

Managing Pipeline Stages

Owners and Admins can customize the stages in your pipeline.

Go to Pipeline in the top menu:

  • Add a stage — Name it and position it in the flow
  • Edit a stage — Rename or reorder it
  • Delete a stage — Remove stages that are no longer needed (deals in that stage will need to be moved first)
  • Seed default stages — Reset to a standard set of stages if you want to start fresh

Frequently Asked Questions

Can multiple team members work on one deal? A deal has one owner but all team members can view, add notes, and track activity on any deal.

What happens to a deal when it is lost? Mark the deal's stage as Lost (or a stage you designate for lost deals). The deal remains in your system for reporting purposes and can be reopened if circumstances change.

How do I see my revenue pipeline total? The Deals board shows totals per stage. For more detailed reporting go to Reports → Project Financial Summary or Overall P&L.

Can I attach a proposal to a deal? Proposals are linked to contacts and organizations rather than directly to deals. When you convert a deal to a project, all associated proposals and documents become accessible through that project.
