Contacts

Create and manage the people you work with.

What is a Contact?

A contact is an individual person you do business with — a client, prospect, partner, or any person you want to track. Each contact belongs to your workspace and is only visible to your team.


Viewing Contacts

Go to Contacts in the top menu to see your full contact list.

You can:

  • Search by name, email, or phone
  • Filter by the organization they belong to
  • Click any contact to open their detail page

Creating a Contact

  1. Click New Contact (or the + button).
  2. Fill in the contact's details:
    • First name and last name
    • Email address
    • Phone number
    • Job title
    • Notes (anything useful to know about this person)
  3. Click Save.

You can also link the contact to one or more organizations at this step or later.

Who can create contacts? Owners, Admins, and Members.


Editing a Contact

  1. Open the contact's detail page.
  2. Click Edit.
  3. Update any fields and save.

Who can edit contacts? Owners, Admins, and Members.


Linking a Contact to an Organization

A contact can belong to one or more organizations (e.g., a consultant who works with multiple companies).

  1. Open the contact's detail page.
  2. Find the Organizations section.
  3. Click Add Organization.
  4. Search for and select the organization.
  5. Optionally set their job title at that organization and mark one as their Primary organization.

To remove a link, click the remove (×) button next to the organization.


What You Can See on a Contact's Page

A contact's detail page shows everything related to that person:

  • Basic info (name, email, phone, title)
  • Linked organizations
  • Associated deals, projects, and appointments
  • Tasks linked to this contact
  • Invoices and proposals sent to them
  • Support tickets raised by or for them
  • Documents shared with them
  • Notes added by your team
  • Reminders set for follow-ups
  • Activity history

Deleting a Contact

Contacts are soft deleted — they are removed from your active list but not permanently erased. This preserves your audit history.

Who can delete contacts? Owners and Admins only.


Sending a Portal Invite

You can invite a contact to your Customer Portal where they can view proposals, documents, and appointments you have shared with them.

  1. Open the contact's detail page.
  2. Click Send Portal Invite.
  3. The contact receives an email with a secure link to access their portal.

Frequently Asked Questions

Can two contacts share the same email address? Each email address should be unique to one contact for accurate tracking. Using duplicate emails may cause issues with portal access and communication.

Can I add custom fields to a contact? Custom data can be stored in the metadata field. Contact your workspace owner about configuring custom fields for your team.

What is the difference between a contact and a lead? A contact is someone you already have a relationship with. A lead is an unqualified prospect you are still evaluating. Leads can be converted into contacts once qualified. See the Leads topic for more details.
