Proposals

Send proposals clients can review and accept online.

What is a Proposal?

A proposal is a document you send to a prospective client outlining the work you will do, how much it will cost, and any terms. Clients can review, accept, or decline proposals through a secure online portal — no login required on their end.


Viewing Proposals

Go to Proposals in the top menu.

Filter by:

  • Status — Draft, Sent, Accepted, Declined, Expired
  • Contact — Proposals for a specific client
  • Organization — Proposals for a specific company
  • Search — By proposal name or keyword

View Insights to see summary statistics about your proposal performance by project type (acceptance rates, average value, etc.).


Creating a Proposal

  1. Click New Proposal.
  2. Fill in the basics:
    • Title — Name for the proposal (e.g., "Website Redesign Proposal")
    • Contact and/or Organization — Who this is for
  3. Click Save.

The proposal editor opens where you can build out the full document.


Building the Proposal

Sections

A proposal is made up of sections — blocks of text covering different topics (executive summary, scope of work, timeline, terms, etc.).

  • Add a section — Click Add Section and choose a type
  • Reorder sections — Drag sections up or down to change the order
  • Edit a section — Click on any section to edit its content

Line Items

Line items define the pricing:

  • Add each service or deliverable as a line item
  • Set a description, quantity, and rate for each
  • Add a tax rate if applicable

The proposal total is calculated automatically.


Using AI to Write Your Proposal

Nuvio One can generate proposal content for you using AI.

Generate the Entire Proposal

  1. Open the proposal.
  2. Click Generate Proposal.
  3. Choose a tone (e.g., Professional, Friendly, Formal).
  4. The AI fills in all sections based on the client and project context.

Regenerate a Single Section

  1. Open any section in the proposal.
  2. Click Regenerate Section.
  3. The AI rewrites just that section — other sections are untouched.

Always review AI-generated content before sending. Edit any sections that need personalisation.


Sending a Proposal to a Client

  1. Open the proposal.
  2. Click Send Proposal.
  3. Enter the recipient email address and an optional personal message.
  4. Click Send.

The client receives an email with a secure link to view the proposal online. The link is unique to them and does not require them to create an account.


How Clients View and Respond to Proposals

The client clicks the link in their email and sees a full, formatted view of your proposal.

They can:

  • Accept the proposal — they enter their name as a digital signature and confirm
  • Decline the proposal — they can optionally provide a reason

You are notified of their decision immediately. The proposal status updates automatically.


Converting an Accepted Proposal to an Invoice

Once a client accepts:

  1. Open the accepted proposal.
  2. Click Convert to Invoice.
  3. An invoice is created with the same line items and amounts.

Who can convert proposals to invoices? Owners and Admins only.


Exporting a Proposal

  1. Open the proposal.
  2. Click Export.
  3. Choose PDF or RTF (Word-compatible format).
  4. The exported document is downloaded and also saved to your Documents library.

Frequently Asked Questions

Can the client download the proposal as a PDF? Yes. The public proposal view has a download option.

Can I send the same proposal to multiple people? Each proposal has one recipient link. If you need to send to multiple decision-makers, you can copy the public link and share it, or duplicate the proposal.

What happens if the client does not respond? The proposal stays in Sent status. You can follow up manually. A proposal expiry feature is on our roadmap.

Can I password-protect a proposal? Proposals use a unique secure access token link rather than a password. Only someone with the link can view the proposal.

Can I edit a proposal after sending it? Yes, but if you make significant changes after sending, re-send the proposal so the client sees the updated version.
